Flipdesk™ Privacy Policy

This Privacy Policy explains how Flipdesk™ (“Flipdesk™,” “we,” “us,” or “our”) collects, uses, stores, and protects your information when you use our freelance management application and related services (the “Service”). By using the Service, you agree to the practices described below.

Our core commitment

We will never sell, rent, trade, or otherwise provide your personal information to any third party for any reason. We do not share your data with advertisers, data brokers, or marketing networks, and we do not use your data to build profiles for resale. The only times your information leaves our systems are the limited, necessary cases described in “Third-party services we rely on” below.

Information we collect

We collect only the information needed to operate the Service:

  • Account information — your name, email address, and password (stored only as a salted, one-way hash). If you sign in with a third-party provider, we receive your name and email from that provider.
  • Business and workspace data — the content you create in Flipdesk™, such as clients, projects, time entries, notes, categories, invoices, and uploaded files or logos.
  • Billing information — handled by our payment processor. We store only limited, non-sensitive details (such as subscription status and the last four digits of a card). We never see or store your full card number.
  • Connected email accounts — if you choose to connect an email provider (such as Gmail or Outlook) to send invoices, we store an encrypted access token so we can send messages on your behalf.
  • Technical data — basic logs needed for security and reliability, such as IP address and timestamps of requests.

How we use your information

  • To provide, maintain, and secure the Service.
  • To authenticate you and protect your account.
  • To process subscription payments and manage your plan.
  • To send transactional messages you request or that are necessary to operate your account (for example, password resets or, where you connect an email account, invoices you send).
  • To diagnose problems, prevent abuse, and comply with legal obligations.

We do not use your business or workspace data for advertising, and we do not use it to train machine-learning models.

Third-party services we rely on

To operate the Service we use a small number of trusted third-party providers. We share only the minimum information required for each provider to perform its function, and we do not control how these providers operate their own platforms. Your use of them is also governed by their respective privacy policies.

  • Payment processing. Subscription payments are processed by a third-party payment processor (Stripe). Card details are entered directly with the processor; we receive only confirmation and limited billing metadata.
  • Authentication / social login. If you choose to sign in with Google or Facebook, those providers authenticate you and share your basic profile (name and email) with us. We cannot control the data practices of these login providers.
  • Email delivery. Where you connect an email provider (Gmail, Outlook) or use our transactional email provider, messages are transmitted through that provider to reach the recipients you specify.
  • Hosting and storage. The Service is hosted on cloud infrastructure that stores your data securely on our behalf.

These transfers exist solely to deliver features you request. We never provide your personal information to third parties for their own marketing or independent use.

Cookies and similar technologies

Our marketing website uses cookies and similar browser storage to operate securely, remember your preferences, and protect our contact form from spam.

We group cookies into the following categories:

  • Strictly necessary. Required for basic site operation, to remember your cookie choices, and for Google reCAPTCHA spam protection on the support contact form. These cannot be disabled.
  • Functional. Optional cookies for site enhancements. We do not currently set functional cookies on this marketing site.
  • Analytics. Would help us understand site usage. We do not currently set analytics cookies on this marketing site.
  • Marketing. Would be used for advertising. We do not currently set marketing cookies on this marketing site.

When you first visit the site, you can accept all cookies, reject non-essential cookies, or open Cookie settings to choose which optional categories to allow. You can change your choices at any time using the Cookie settings link in the site footer.

Your consent preferences are stored locally in your browser. If you clear site data or use a different browser or device, you may be asked again.

Google user data — Limited Use disclosure

If you connect a Google account (for sign-in or for sending email), Flipdesk™’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically, we only use Google user data to provide and improve the features you request, we do not transfer or sell it for advertising or other purposes, we do not use it for serving ads, and we do not allow humans to read it except with your explicit consent, to comply with the law, for security purposes, or as required to operate the feature you enabled.

How we protect your information

  • Passwords are stored as salted, one-way hashes and are never recoverable in plain text.
  • Connected-account tokens are encrypted at rest.
  • Data is transmitted over encrypted (HTTPS) connections.
  • Access to production systems is restricted to authorized operations.

No method of transmission or storage is completely secure, but we work to protect your information using industry-standard safeguards.

Data retention

We keep your information for as long as your account is active. You may delete your data or close your account at any time, after which we delete or anonymize your personal information except where we must retain limited records to comply with legal, tax, or accounting obligations.

How to delete your data

You can delete your data and close your account at any time, directly from the app:

  • Delete your entire account and all data. Sign in and go to Settings → Details → Danger zone and choose Close account. After you confirm (by entering your password and typing “DELETE”), we permanently delete your account and all associated data — clients, projects, time entries, invoices, memos, settings, connected-account tokens, and login credentials — and cancel any active subscription. This action is immediate and cannot be undone.
  • Disconnect a connected account. Go to Settings → Emails and disconnect any linked Google or Outlook account. This immediately revokes and deletes the stored access token for that provider. You can also revoke Flipdesk™’s access directly from your Google Account permissions.
  • Delete specific records. You can delete individual clients, projects, time entries, invoices, and uploaded files directly within the app.
  • Need help? If you cannot access your account, email us at from your account’s email address and we will delete your data on your behalf. We may retain limited records we are legally required to keep (for example, tax and billing records).

Your rights

Depending on where you live, you may have the right to access, correct, export, or delete your personal information, and to withdraw consent for connected services. You can manage much of your data directly in the app (see “How to delete your data” above), or contact us using the details below to make a request.

Children's privacy

The Service is intended for business and professional use and is not directed to children under 16. We do not knowingly collect personal information from children.

Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, notify you within the Service.
